JOB SUMMARY

The Assistant Registrar of Operations serves as the University's compliance coordinator for the National Student Clearinghouse and National Student Loan Database and is responsible for maintaining accurate records and enrollment statuses. Responsibilities include, but are not limited to, troubleshooting data problems, updating documentation, collaborating with staff across the University, and resolving data issues. This position will also serve as the liaison to Student Financial Services on student billing and registration. In addition, the Assistant Registrar prepares scheduled and ad hoc reports from the University student information system on enrollments, demographics, etc., for internal University use.

Data/Enrollment Reporting: (60%)

  • Serve as Simmons' National Student Clearinghouse (NSC) repre sentative. Responsible for University compliance with the policies and regulations of the National Student Clearinghouse. Interpret new or revised Clearinghouse requirements and update Simmons' procedures and documentation accordingly, ensuring accurate submission of students' information.
  • Prepares monthly uploads for the Clearinghouse; receives, review, interpret, and reconcile the discrepancies provided by the Clearinghouse; reconciles discrepancies in enrollment information shared between the Clearinghouse and the National Student Loan Database.
  • Responsible for creating and disseminating internal data reports related to student programs and registration information at regular intervals and upon request. Monitors datqrequest@simmons.edu.
  • Works with and provides information for the Compliance and Audit committees.
  • Works in collaboration with the Office of Institutional Research.



Leave of Absence/Withdrawals: (25%)

  • Oversees leaves of absence and University full-school withdrawals. Counsel students on the leave of absence process, code leaves in the student information system, and maintain regular contact with undergraduate students while away from the University. Reactivate student accounts upon their return. Code and track all student withdrawals across the University.



Technology Liaison: (10%):

  • Works collaboratively with the Office of Technology to resolve issues in the student information system and/or the student portal and troubleshoot issues, serves as the lead role for the Registrar's Office on data cleanup efforts.
  • Liaison to Student Financial Services. Address discrepancies of student types, making changes as necessary. Perform credit audit each semester to address discrepancies between academic and billing credits. Identify and resolve all duplicate accounts.
  • Provides customer service to students, faculty, staff, and fellow administrators, in person, over email, and on the phone with questions about registration/records, courses, curriculum requirements, etc.

REQUIRED QUALIFICATIONS

  • Bachelor's Degree required
  • 2-3 years of direct related experience in a Registrar's Office
  • Strong organizational and analytical skills
  • Successful experience interacting with culturally diverse populations



PREFERRED QUALIFICATIONS

  • Working knowledge of Student Information System- Workday preferred

  • Detail-oriented, customer service and compliance-focused
  • High standard of professionalism and customer service to the general public, students, faculty, and Staff
  • Proven ability to follow instructions and complete assigned projects and related tasks



WORK ENVIRONMENT & CONDITIONS/PHYSICAL DEMANDS

  • Hybrid eligible for up to 2 days of remote work
  • Typical environment is an office setting with moderate noise.
  • Physical activities required are finger dexterity necessary to operate equipment used in the position, talking, seeing, and hearing. Walking, sitting, bending/stooping, pushing/pulling, and minimal unassisted lifting (up to 20 pounds) associated with the job duties are required.
  • Occasional weekends required
