Essential Functions

Job Summary

Responsible for supporting fundraising and stewardship activities for the College of Science (COS). It is our hope that the individual selected for this role will grow within the college. We are committed to providing a clear path for advancement.

Core Responsibilities
  1. Works closely with the key internal partners throughout the Office of Advancement & Alumni Engagement and the College of Sciences, including interfacing with students and faculty, to collect and synthesize information for donor reports, coordinate meetings, and oversee timely gift processing, requests for new gift agreements, and data requests.
  2. Oversees stewardship and reporting of annual and endowed scholarships. Working with the Program Manager for Undergraduate Studies, collect information on scholarship recipients, write biographies, and coordinate meetings with scholarship recipients and donors.
  3. Manages annual endowment reporting process. Collects information from faculty on their research activities. Copyedit faculty-created reports. Seeks additional information from faculty as necessary.
  4. Event planning and management. Assists in planning, strategy, and execution of COS donor cultivation, stewardship, and recognition events including luncheons, off-campus events, and receptions.
  5. Crafts compelling written communications for donors and external audiences. Writes thank you letters, student biographies, and donor feature stories for the College's website, publications, and promotional and fundraising materials.
  6. Maintains an in-depth knowledge of COS and the university, its initiatives, and fundraising priorities in order to communicate a compelling case for support, and to serve as a liaison between and representative of UTSA and our constituents.
  7. Participates in key events, committees, and other opportunities to cultivate relationships with donors, prospects, and internal partners; supports advancement councils with development-related matters and manages volunteers as appropriate.
  8. Completes gift processing and transmittal paperwork.
  9. Maintains accurate records in electronic database (NXT).
  10. Working with the Business Service Center, perform administrative duties such as submitting travel requests, processing NPO vouchers, etc.
  11. Prepares dean, other administration, or volunteers for development activities.
  12. Performs other duties as assigned.

Required Qualifications
  • Bachelor's degree from an accredited institution.
  • Must have a valid Texas driver's license or be able to obtain one within 30 days of employment.
  • One (1) year of professional fundraising experience with major gifts and/or foundation, individual and corporate prospect identification, and solicitation OR two (2) years of professional experience in sales or related industries.
  • Excellent written, oral, and interpersonal communications skills to establish and maintain good working relationships within all organizational levels and with outside constituencies.
  • Highly effective organizational skills. Detail-oriented, self-starter with a demonstrated ability to work independently and manage more than one project simultaneously to meet deadlines.
  • Ability to work well with various groups of constituents/colleagues as a team member and as a leader in a complex organizational environment.

Preferred Qualifications
  • Professional development experience securing private support for a university or service organization.
  • Experience collaborating with a team involving different phases of advancement or similar activities including communications, special events, and alumni relations.
  • Experience working with advisory council members and other volunteers.
  • Knowledge of development information systems, preferably Raisers Edge.
  • Experience with Microsoft Office or 360.

Working Conditions

Working Environment:
  • Office environment.
  • Ability to travel to and from meetings, training sessions, or other business-related events.
  • Occasional after-hours and weekend work or overtime may be required.

Physical Demands:
  • Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.

This position will require working both remotely in Texas and on campus (approximately five or more days on campus per month). Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
