Position Description

Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

Major/Essential Functions

 

  • Supports the Vales-Based culture of Texas Tech.
  • Create a welcoming and positive environment for students, staff, and faculty to ensure the interaction is efficient and is a satisfying experience.
  • Track BLS, RN License, vaccinations, and additional licenses required by specific tracks for students enrolled in the graduate program. Notify students and upload documents to Grad Central.
  • Track UDS results and criminal background results for clinical sites that require these items. Notify students of these requirements. Upload results to Grad Central.
  • Ensure platform compliance for clinical sites that use rotation software. Notifying students of compliance issues and account expiration dates.
  • Clinical attestations, clinical on-boarding, preceptor license tracking, student tracking and notifications. Verifying all information is up to date and sending to appropriate clinical site.
  • Update education and employment verification requests through HireRight. Notify students of requirement and track.
  • Email students, clinical sites, faculty, and preceptors as needed. 
  • Guide students through the clinical placement process and send out clinical guideline emails as well as upcoming clinical application deadlines.
  • Manage the clinical projections spreadsheet.
  • Help ensure all preceptor forms are completed and approved in a timely manner.
  • Update course synopsis with clinical faculty so that sites and preceptors have the most up-to-date information.
  • Update the site affiliation agreement website with accurate information such as contact person, specifications, correct emails and phone numbers.
  • Pull background checks for new admits and upload the date to Grad Central so we can attest to having them on file.
  • Manage the preceptor tracking sheet and update.
  • Preceptor thank you letters and ANCC certification renewal requests.
  • Manage the preceptor and faculty tab in Grad Central.
  • Notify students of items needed prior to the processing of their preceptor agreement forms and placing the forms On Hold until the missing item is received. If student does not respond, reach out to faculty for assistance.
  • Complete all other jobs as assigned.

 

Required Qualifications

High school graduation plus five (5) years progressively responsible related experience; additional related education may exchange for required experience on a year for year basis.
 

Preferred Qualifications

 

Two years progressively responsible clerical experience.
