Administrative Assistant for the Student Success Center
D'Youville College

General Statement of Duties:

The D’Youville College Student Success Center provides the comprehensive services of Academic Advisement and Planning, Transfer Services, and Career and Professional Engagement. The Center brings both Academic Affairs and Student Life together to meet the unique needs of each student. The Center supports all students in their transition to D’Youville by encouraging campus connections and fostering academic success. Each member of the Student Success Team will empower students to take their first steps into the future.

Reporting directly to the Chief Student Success and Advocacy Officer, the ideal candidate is self-motivated and well organized with superb writing, verbal and organizational skills. The Administrative Assistant performs a wide variety of complex responsible clerical, secretarial and administrative tasks and activities while functioning as an office assistant to the staff in the student success center.

Examples of Duties (illustrative only):

  • Serves as the first point of contact for students entering the center, must be friendly, kind and approachable
  • Provide general office support such as, answering phones, receiving messages, mailings, copying, scheduling, and processing paperwork
  • Maintain inventory of office supplies and replenishes when necessary
  • Plans events, workshops, presentations, by assisting with logistics, arrangements, and orders through catering services
  • Drafts and types letters, reports and documents
  • Records meeting minutes and distributes in a timely fashion
  • Assist with data input, website updates, and office publications
  • Coordinates and maintains confidential records
  • Supervise student workers
  • Performs related duties as required.

Job Requirements

Required Knowledge, Skills, and Abilities

  • Thorough knowledge of office terminology, methods, procedures and equipment
  • Knowledge of proper grammatical usage, punctuation and spelling
  • Proficiency in Microsoft Office products such as Word, PowerPoint and Excel
  • Ability to understand and carry out complex oral and written directions
    Acceptable Training and Experience:
    • Associate’s degree from an accredited institution of higher education, Bachelor’s degree preferred
    • Minimum of two years of full-time, professional work experience in a related field
    • Experience with independent planning and execution of a significant number of successful events, meetings, and programs
