Academic Course Scheduler

Position Summary:

The Academic Course Scheduler analyzes data in concert with institutional goals for staffing, course selection, and course sequencing in order to assist in the College’s effort to create a student-centered course schedule. The Academic Course Scheduler recommends course modifications and will support a college-wide student-centric schedule increasing student velocity to completion and achieve optimum efficiency in the College’s resources. In addition, the position ensures compliance with the College’s scheduling philosophy, evaluates the schedule against established benchmarks, compiles statistical data and reports to improve business practices, and troubleshoots database issues that may arise with software used to analyze and build course schedules.

The Academic Course Scheduler acts as a primary point of contact and liaison with academic departments and the Records office on a wide-range of complex scheduling, operational, and administrative issues related to academic course offerings. The position navigates complex scheduling issues with academic department coordinators and devises creative resolutions for situations under limited time constraints.

Job Duties and Responsibilities:

Offer input on goals and benchmarks for the utilization of college resources as they impact and are impacted by the course schedule. Analyze data regarding the course schedule’s ability to reach established benchmarks. Analyze each draft of the Schedule of Credit Classes in iterations against benchmarks set and make recommendations to departments accordingly, including timetables for all activities and distribution.

Analyze scheduling practices and formulate improvements to enhance student access and success and high-quality teaching and learning environments. Work to resolve scheduling conflicts and disputes and seek assistance when necessary. Monitor currency of the room inventory in scheduling software including all appropriate details needed for effective academic scheduling and share changes and updates with other departments.

Provide guidance and training to staff about understanding scheduling protocols by sharing knowledge and best practices and appropriately respond to requests for more information. Suggest alternative schedule options for unique situations. Collaborate to identify and support projects contributing to academic operations. Participate in the regular evaluation of the scheduling process in conjunction with the Learning Leadership Council.

Assist other offices as requested to conduct detailed enrollment analyses for stakeholders. Assist the Vice President of Learning with examining data regarding efficiencies in scheduling and scheduling processes to increase student velocity to completion. Other duties as assigned.

Job Requirements

Required Qualifications:

Master’s degree and minimum of five years’ progressively responsible experience in a higher education office. Experience utilizing integrated database systems and software applications to analyze large data sets, solve problems, and communicate information to appropriate stakeholders.

Ability to develop and maintain positive working relationships with staff and faculty from across the college and to work productively as a member of a team. Must have superior people skills. Demonstrated organizational skills, attention to detail, and accuracy.

Experience working independently in a high-volume transactional setting.

Ability to work under pressure in a deadline driven environment.

Ability to implement multiple complex projects simultaneously.

Demonstrated strong oral and written communication skills.

Demonstrated ability to analyze and solve problems.

Preferred Qualifications:

Demonstrated proficiency with educationally-based database systems such as Colleague, Resource, and 25Live.

Comprehensive knowledge of and experience with the campus classroom inventory (both general assignment and departmentally controlled space) and the Class Schedule Database.

Advanced data entry skills and Ad Astra or Colleague experience a plus.

Previous work analyzing and communicating information from large data sets using spreadsheets or databases

Hours Per Week: 40

Work Schedule: Monday - Friday, 8:30 a.m. to 4:30 p.m. , occasional evenings
