Secretary to the Vice President for Academic Affairs
D'Youville College

General Statement of Duties:
This support position will manage and supervise all operations of the office of Academic Affairs. In addition to providing direct secretarial support to the Vice President for Academic Affairs, the individual will network with the four schools and departments in addressing administrative issues to insure the efficient management of the office and business processes necessary to maintain the Office of Academic Affairs. The individual must maintain office hours from 8:00am – 4:00pm Monday – Friday and as needed by the VPAA on weekends and evenings.

Distinguishing Features of the Position:

  • Preparation of overload and adjunct contracts
  • Responsible for documentation of confidential information of the Academic Affairs Office that pertains to faculty annual reviews and personnel files
  • Record –keeping and maintenance of individual faculty files
  • Maintain and update Academic Affairs website home page
  • Preparation of PowerPoint Presentations for VPAA
  • Record-keeping and maintenance of faculty course loads
  • Create routine reports and provide administrative support
  • Function as resource person on academic concerns and direct students to appropriate offices
  • Serve as resources person for faculty/faculty committee (information databank)
  • Service as clearinghouse for new faculty’s access to CASI and issuance of email accounts
  • Monitoring and log of all requests for changes for graduate and undergraduate catalog
  • and transcribe meeting minutes as requested by VPAA
  • Maintain and schedule Academic Affairs calendar utilizing Outlook

Example of Duties: (Illustrative)
Office Support

  • Serve as first contact for the Vice President
  • Type Correspondence
  • Type Academic Affairs annual reports
  • Maintain all official Academic Affairs Correspondence
  • Prepare purchase order and check requests
  • Add/Drop forms
  • Review of retroactive withdrawals: academic and financial penalties
  • Leave of Absence/College Withdrawal forms
  • Collect and process forms for directed study of, off campus courses, grade change and incomplete grades
  • Information conduit to and from VPAA
  • Administrative and general support to VPAA on special projects, as may be assigned
  • Pick up and drop off mail daily

Job Requirements

Accreditation Compliance:

  • Assist in the preparation of annual reports for New York State Education Department, along with each individual department’s accrediting body’s requirements
  • Maintain all accreditation documents

Required Knowledge, Skills and Abilities:

  • Competent in Moodle, Microsoft Office including Word, Access, Excel and PowerPoint
  • Ability to define and solve problems
  • Collect data, and work with a variety of databases
  • Ability to write reports, business correspondence, and procedures manuals
  • Ability to effectively present information and respond to questions from faculty, students, staff and the general public
  • Ability to multi task and adapt to a changing environment
  • Excellent verbal and written skills
  • Highly organized and able to work independently

Educational Qualifications:

  • Bachelor’s degree from a four year college or university
  • Minimum of five years of related work experience
  • Familiarity with college/university educational programs preferred
