Position Summary:

The Instructional Support Center Assistant is responsible for the dissemination of information to the general public and students of the Continuing Education and Workforce Development program areas. In addition, the Instructional Support Center Assistant is responsible for providing operational support for activities and processes related to public inquiry, students, faculty and staff, section maintenance, database and office systems.

Job Duties and Responsibilities:

Customer Service:

Provide first line customer service to telephone inquiries and walk-in registrants. Provide office and telephone coverage to disseminate information and respond to inquiries from students, faculty, staff and the public. Actively work to resolve inquiries/issues at point of contact using full range of college systems. Communicate tactfully with instructors and students regarding enrollments, class status, room locations, billing issues, and any problems that arise with regard to course offerings. Provide general assistance to students/faculty/staff.

Enrollment Management:

Actively work to convert all inquiries (phone and in-person) to student registrations. Provide section maintenance services through the creation and maintenance of databases of current information on courses, enrollments, course locations, room scheduling, financial information and instructor information. Generate and maintain files for course information, rosters, certificates and evaluations. Remain current with college credit registration and admission procedures. Process registrations and payments. Post grades/send CEUs.

Office/Technical Support:

Assist in technology innovation implementation to enhance divisional systems to provide processing efficiencies. Compose/prepare a variety of documents, reports and correspondence using college standard word processing. Assist in maintaining a filing system for department documentation. Open, prioritize, and distribute office mail as backup to Office Manager. Assist in delivering interoffice documents to Records/Admissions. Scan/process student evaluations. Assist hourly staff members with answering questions/resolving issues.

General Office Support:

Assist new hourly staff members in their on-the-job learning and acclimating to the position. Perform I-9 verification for new adjunct faculty members in the absence the Budget Technician and Contract Technician. Other duties as assigned by management.

Job Requirements

Required Qualifications:

To be hired as an Assistant I: a minimum of one year of relevant experience; must include experience in a customer service related environment. To be hired as an Assistant II: a minimum of three (3) years of relevant experience; must include experience in a customer service related environment.

A high school diploma or GED.

Intermediate level proficiency in Microsoft Office Suite applications, Word, Excel, Power Point, and Access, especially related to instructional support or office systems required.

Effective oral, written and interpersonal communication skills, including a clear telephone manner and effective customer service skills including conflict resolution.

Ability to work independently with minimal supervision, and attention to details and deadlines. Ability to work a flexible schedule including nights, weekends, and occasional off-campus assignments as necessary to meet the needs of the department.

Ability to deal effectively and tactfully with students, faculty, staff, administrators, and the public.

Preferred Qualifications:

Associates Degree

Experience with Ellucian's Colleague UI or similar.

Hours Per Week: 40

Work Schedule: Tuesday through Thursday: 11 am-8 pm; Friday: 9 am-5 pm; and Saturday: 8 am-noon.
