The Administrative Assistant for Advising, Career and Transfer Services (ACS) is the first point of contact for visitors and callers (Average 5,000 calls and 850 visitors per month) to the ACS department and support for ten professionals. In this fast-paced, high-pressure position, the assistant must have comprehensive knowledge of all college procedures, programs, and course offerings in order to direct visitors to the correct person or department. With a daily average of 250 visitors and 150-200 callers per day, the administrative assistant must quickly ascertain the reason for the visit or call within a limited amount of time. Excellent verbal communication and customer service is critical to the smooth operation of ACS. This position supports a department that consists of the Director of Advising, Career and Transfer Services, the Assistant Director of Advising, the Assistant Director of Transfer Services, nine full-time and one half-time Academic/Career Advisors, a Career Counselor, Career Services Administrative Assistant and Student Workers with daily work and special events, maintains department statistics, prepares complex spreadsheets, and handles purchasing and a shadow budget system.
The work schedule for this position is 40 hours per week, Monday – Thursday 8:30 a.m. – 5:30 p.m. and Friday 8:00 a.m. – 4:30 p.m. Flexibility is required.
