I. Summary of Position

Serve as the Chief Operating Officer for the Office of the Vice Provost for Undergraduate Education (VPUE); represent the Vice Provost in operational and financial matters, and act as chief advisor to the Vice Provost. Function in a critical leadership role to ensure financial services and administrative management that enable VPUE to achieve its strategic and operational goals. Serve as the principal steward of the VPUE's resources (i.e. financial, human and physical) and is responsible for matters related to the administrative and financial management of the VPUE including financial operations, budget and financial planning, facilities planning and management, human resources, information technology and security, faculty affairs, research administration and health and safety operations. Advocate for and represent VPUE priorities at University levels with specific concern for global business operations, residential partnerships, and university administrative leadership.


II. Core Duties
  • Preserve and enhance the VPUE's financial assets, including controls and management reporting; oversight of consolidated budget, capital plan, annual capital budget, fund application, expenditures and compliance; management and allocation of reserves and use of the school's endowment; development of models for new algorithms for the operating budget and for negotiation with school dean's offices, department chairs and business affairs.
  • Interpret and ensure all staff adhere to University personnel policies and procedures; also, in conjunction with the Vice Provost, responsible for Faculty Director billets, Academic staff compensation and related issues, and may oversee Faculty Director recruitment and retention; oversight of compliance with all applicable labor laws; oversight of development of internal programs and policies, and setting standards for carrying out University personnel philosophy; employee and labor relations management, classification and salaries, performance management, employment, staff training and advancement, and affirmative action; negotiation of compensation and perquisite packages for faculty engaged in VPUE academic programs.
  • Oversee facilities planning and management; oversight of VPUE supported construction and renovation; ensuring contract quality and control processes are followed in completion of capital projects on time and within budget; oversight of development and assignment of the VPUE's physical plant.
  • Ensure compliance with federal, state, and local laws and regulations governing health and safety; ensuring that all activities are conducted so that the health and safety of employees, students, visitors, the public, and the environment are protected; oversight of areas including hazardous materials and waste disposal, emergency planning, fire protection, industrial and chemical hygiene, electrical safety, and lab safety training.
  • Create the management and administrative infrastructure supporting VPUE; direct responsibility for the Departments of Human Resources, Finance and Administration, Facilities Planning and Management, Health and Safety, Information Technology; oversight of finances for all service centers, management of smaller units such as core facilities, multidisciplinary research programs, interdepartmental programs, and other interdepartmental or interschool entities as they may be developed; collaborative oversight of the management of all other academic and administrative departments.
  • Apply analytical and planning expertise as needed in support of administrative, financial and facilities management and program development activities.
  • Ensure VPUE's computing and technology needs are met. Work with university officials on designing and modifying university-wide information systems.
  • Serve as the VPUE's primary voice in a number of university-level forums, committees and task forces. Work closely with senior officers from across the institution to develop university policies, procedures and systems in a wide range of areas to make positive contributions to improve administration at Stanford.

III. Minimum Requirements

Education & Experience:
  • Bachelor's degree and ten years of relevant experience in administrative and financial management or combination of education and relevant experience.
Knowledge, Skills and Abilities:
  • Demonstrated strategic leadership, planning, change management and process improvement skills.
  • Ability to demonstrate a high level of diplomacy in persuading and influencing a wide variety of people at various levels to achieve results in a collaborative decision-making environment.
  • Excellent strategic planning skills.
  • Excellent communication skills. Able to influence people, solve problems, trouble shoot, think creatively and resolve conflicts. Outstanding writing skills required to create compelling and widely read budget requests, funding agreements, and policy documents.
  • Advanced financial expertise in accounting, budget planning, and financial forecasting.
  • Advanced expertise in grants and contract administration.
  • Exceptional negotiation and effective interpersonal skills negotiation and political acumen skills.
  • Attention to detail and accuracy.
  • Expert analytical and problem solving skills.
  • Strong knowledge of industry standards, trends and/or regulatory requirements.
  • Subject matter expertise for areas(s) of responsibility.
  • Advanced expertise in business and management computer applications and databases.
  • Broad understanding of information technology hardware and software infrastructure.
  • Excellent organizational skills and ability to multi-task and manage deadlines.
  • Strong interpersonal skills with the ability to cultivate strong collaborative relationships with faculty and able to anticipate faculty needs.
