Program Assistant I/II, Part Time, President's Office

The President's Office Assistant PT is responsible for providing administrative and secretarial support to the Executive Assistant to the President and additional support as needed to the President's Office staff.
Job Duties and Responsibilities:
Correspondence: open and prepare daily mail for Executive Assisant; prepare routing information when needed; review publications; review news articles and other publications for notes to be prepared; draft responses, thank you notes and congratulatory letters; prepare birthday cards for employees and VIPs, holiday cards and e-greetings and cards for other occasions; update contacts in Outlook and holiday e-card mailing list; and submit retiree commendation requests to the County Executive's Office.
Support to Executive Assistant to the President: make hotel/travel arrangements for President's conferences and meetings and prepare travel charts; assist the EA with President's calendar with confirming appointments, reservations, parking and catering; provide desk and phone coverage for EA; track and update Complaint Log; keep accurate chart of memberships; check Presidents line daily; review President's calendar for leave to arrange for Acting President; and draft presentations list.
Office Support: track inventory and order supplies for President's office; and monitor printers and photocopier supplies and maintenance.
Filing for office and President and archiving files.
Pay invoices via Unimarket; petty cash (keep track of expenditures and make reimbursements); and use Colleague data base for addresses for faculty, staff and students.
Provide support for other special projects as directed by Executive Assistant.
High School diploma or GED
To be hired as Assistant I-a minimum of one (1) year of progressively responsible administrative/secretarial experience is required. To be hired as an Assistant II-a minimum of three (3) years of experience is required.
Intermediate knowledge and skills with Microsoft Office
Proven ability to keep confidentiality and deal effectively and tactfully with student, faculty staff and the public.
Excellent customer service skills
Ability to learn new software applications and accounting systems
Excellent communication skills (written, oral and interpersonal) to include grammar, spelling, punctuation, editing and proofreading.
Experience in file system management.
Demonstrated organization skills and ability to prioritize work flow
Associate Degree preferred
Ability to interact with a variety of faculty, staff and students from diverse backgrounds.
Work Schedule: 20 hours/4 hours per day/12:30 p.m.-4:30 p.m.
